# Emails - Returnline 1.x documentation

> The five return emails, when each is sent, and how to change their wording, look and recipients.

Returnline's emails are normal WooCommerce emails, so they use your email settings, colours and footer.

## When they're sent

| Email | To | When |
|---|---|---|
| Return requested | Customer | They sent a request |
| New return request | Store | A customer sent a request |
| Return approved | Customer | You approved it; includes the instructions |
| Return declined | Customer | You declined it; includes your reason |
| Return completed | Customer | You refunded it; includes the amount |

Returns you create yourself don't send the two "requested" emails.

Each customer email has a **View your return** button to the return's page in their account. The store email has **Review the return**, to its page in your admin.

## Changing them

Go to **WooCommerce → Settings → Emails** and click an email to:

- switch it on or off;
- change the subject and heading (placeholders: `{return_number}`, `{order_number}`, `{site_title}`);
- add **Additional content** under the message;
- choose HTML or plain text;
- for **New return request**, set who gets it (your admin email by default).

## Look

The emails use the base colour and fonts from **WooCommerce → Settings → Emails**: the instructions box has a border in your base colour and the button is filled with it.

To change the layout, copy `templates/emails/returnline-return.php` (and `plain/returnline-return.php` for plain text) from the plugin into `yourtheme/returnline/emails/` and edit the copy. See **Templates**.

## Emails not arriving?

See **Troubleshooting**. Most often the email is switched off, or the site can't send email at all; a mail logging plugin shows whether WordPress sent it.
