# Managing gift cards - Giftline 1.x documentation

> The staff screens under WooCommerce → Gift cards: the list, each balance's history, changing a balance, emailing or printing a card, disabling it, and making cards and credit.

Everything about gift cards and store credit is under **WooCommerce → Gift cards**, for staff who can manage WooCommerce (Shop managers and Administrators).

## The list

![WooCommerce → Gift cards](https://storage.extendiment.com/media/603/screenshot-4.png)

The **Cards and credit** tab lists every gift card and every customer's store credit, newest first, with what's outstanding in total above it.

| Column | |
|---|---|
| **Card or customer** | A card's code and who it was sent to, or the customer whose credit it is (an email address for a guest's credit). Hover for **View** and **Print**. |
| **Type** | Gift card, Gift card (printed) or Store credit. |
| **Balance** and **Issued** | What's left, and what the card was made for. |
| **Status** | **Active**, **Disabled** or **Expired**. |
| **Expires** | The expiry date, if the card has one. |
| **Order** | The order that bought the card. |
| **Created** | When the card or credit was made. |

The views above the list show **All**, **Gift cards**, **Store credit**, **Disabled** and **Expired**. **Search codes, emails or orders** finds a card by any part of its code (with or without dashes), a recipient's or customer's email or name, an order number, or a note in its history, such as the note you gave a batch of printed cards. Sort by balance, expiry or date by clicking the column title, and set how many rows a page shows under **Screen Options**.

**Bulk actions**: **Print cards (PDF)**, **Export (CSV)**, **Disable** and **Enable** for the ticked rows.

## A card's screen

Click a code or a customer to open its screen.

![A gift card's history and tools](https://storage.extendiment.com/media/604/screenshot-5.png)

**History** lists every change to the balance, newest first: when, what (Issued, Spent, Returned, Refund to credit, Adjusted, Expired, Cancelled) and where it came from, the change and the balance after it, the order or reference, the staff member, and the note. The history always adds up to the balance.

**Balance** shows what's left and the status, and for a card: the code, the amount it was issued for, who it was sent to and from, whose account it's in, whether and when it was emailed, its expiry, the order that bought it and the message. Below are **Print card**, **Email again** (or **Email now** for a card not sent yet) and **Disable** or **Enable**.

**Change balance** adds to the balance or, with a minus sign, takes away from it. A reason is required; it's kept in the history with your name. A balance never goes below zero.

**Details** (cards) changes the recipient's email and name, and the expiry date. Correct a mistyped address, save, then click **Email again**. An expired card gets a new life with a later date, but its expired balance stays written off: add it back with **Change balance** if you want to.

## Disabling a card

**Disable** stops a card from being used, for example when it's reported lost or an order looks fraudulent. The balance stays as it is, and **Enable** makes it usable again. The liability report lists what disabled cards and credit still hold on a line of its own, since that money is still owed.

To replace a lost card, disable it, take its balance away with **Change balance**, and make a new card for the same amount.

## Add gift card or credit

**Add gift card or credit** (at the top of the list) makes:

![Add gift card or credit](https://storage.extendiment.com/media/605/screenshot-9.png)

- **A gift card**: an **Amount**, optionally an **Email** to send it to with the **Recipient's name** and a **Message**, an **Expires** date (filled in from the settings when gift cards expire), and **This card is printed and handed over, not emailed** for a card you'll print.
- **Several gift cards at once**: set **How many cards** (up to 500). Afterwards, **Print them (PDF)** or **Download the codes (CSV)**.
- **Store credit**: an **Amount** and the customer's **Email**. See [Store credit and refunds](store-credit-and-refunds).

**Email it** sends the card, or tells the customer about their credit. The **Note** is for your records and shows in the history.

## On orders

On the order screen, each gift card or store credit the order used is its own row in the totals, and the order notes say what was paid with each, returned or emailed. Under a gift card line you'll find the cards it created, with a link to each card's screen and **Print**.
